Here's an overview of the options found in the File tab:
Send Emails: This option allows you to send emails to players in the tee sheet. Here are the emails that can be sent this way:
To members with their tee times (after the lottery): This is used to send members their tee times and names of the players in their foursome. Emails are sent in each member's preferred language. You can send emails to particular players, tournament participants for example, by using Shift or Ctrl or your keyboard to select them.
To view the emails' transmission status, go to File >> Send Emails >> Display Email Distribution History. You will see the following screen:
The last line is the email transmission you've just launched. Emails could be sent in small batches if they're meant for a large number of people. This does not indicate a problem, on the contrary. It's to stop you from being flagged as spam.
To members that have tee times today (informational): This is used to send information to members with tee times, for example to inform them that the course is closed for the day. With this option, the player's tee time is not included in the email. Emails are sent in each member's preferred language. If you only enter the message in one language, all members will receive it in that language, no matter their language preference (they will not receive a blank message). You can send emails to particular players, tournament participants for example, by using Shift or Ctrl or your keyboard to select them.
This screen displays the names and emails of players included in your transmission so you can verify them:
Write your email here and add your attachments if need be. When you're ready, click on "Send emails" in the middle of the page.
To visitors with their tee times (after their reservation): This option works the same way as for members.
To visitors that have tee times today (informational): This option works the same way as for members.
To the participants of an outside event: In order to use this option, you need the Email/SMS module and the tee sheet needs to have been blocked in the Tournament module. Also, emails need to have been entered online by the tournament's organizer or in the tee sheet via the "Contact info" tab in Tee Time Detail (F8).
For these emails, select the tournament participants using either the Shift or Ctrl key on your keyboard.
If you've made no selection, this error message will appear:
Then, go to File >> Send Emails >> To the participants of an outside event.
Emails sent this way are sent in the club's default language to all tournament participants and confirms their tee time, starting hole and course:
Display Email Distribution History: This option allows you to view all emails sent in GGGolf and follow their progress. For example, you can see whether your transmission has started or has been cancelled, how many emails have been sent vs how many still need to be sent, etc. You can also change an email's distribution status to stop it from being sent.
