Allows you to define the year's calendar, mark holidays and configure many other parameters. Also allows you to define exceptions by date for reservation periods and the number of days before draw for holidays, exclude certain restriction classes, document tournaments and club events, and post messages to members and/or visitors when they reserve online. This calendar also contains the weather information entered through Tee Time Maintenance.
It is important to generate the full calendar each year to ensure that the Internet Services function properly. It is possible to modify some of the data directly from the table or in the sub-screen's tabs. Buttons and fields at the top of the screen manage the calendar:
Position to: To search the database for a specific date. Simply click on the arrow to the right of the date currently displayed to view the calendar, then select the date you're looking for. The cursor will automatically position itself on this date in the table below.
Generate Dates: This function is generally used at the beginning of the year to generate the entire year's calendar dates.
First Day of Week: Indicates what day is used as a reference for the start of the week. This is primarily used for reports. In the example above, the week starts on Thursday. Therefore, weekly reports will be displayed from Thursday to Wednesday.
Start Date: Indicates the first date the calendar will generate. It is recommended to generate dates starting on January 1st each year.
End Date: Indicates the last date the calendar will generate. It is recommended to generate dates up to December 31st each year.
Modify date: To modify the selected date in detail. Alternately, double-click on the date directly in the table (see the description of the Calendar detail sub-screen below).
Regenerate First Day: Used when you wish to change the first day of the week, and allows you to update the calendar accordingly.
The calendar's table contains the following information:
Date: Indicates the date.
Day: Indicates the day of the week for the date to the left.
Holiday: Indicates whether the date has been marked as a holiday. That happens in the calendar sub-screen (see its description below). It is important to identify holidays in the calendar to manage restrictions.
Accept reservations: Indicates whether reservation ballots are accepted for this date. A choice is offered when you click on the field, then on the arrow:
Day Default: References the day of the week, according to settings in the Days tab.
Yes: Exceptionally, reservations are accepted on that date.
No: Exceptionally, reservations are not accepted on that date. This option is used for special days to avoid members requesting tee times when the course is unavailable (ex. external tournament).
Days before draw: To establish a different number of days before the draw than that date's default.
Reservation Schedule: To choose a reservation period specific to a date. For example, if there is to be an external tournament at 12:30 and a shotgun at 7:30 am, it would be preferable to create a reservation period for the 7:30 shotgun and select it.
Hide Course Name: To hide the course name in the online tee sheet.
Hide Tee Times: To hide the tee sheet online for the selected date.
Lock Internet Tee Times: To prevent members from reserving tee times (instead of putting locks on each tee time in the tee sheet).
Max carts: Indicates an exception to the maximum number of carts for members / visitors (often because of an external tournament). Only important for clubs allowing cart reservations online.
Exclude Restriction Classes: Allows you to deactivate a restriction class for a specific date. For example, on Father's Day, you could deactivate restrictions affecting Juniors (J). To do this, you must enter restriction classes directly in the field without spaces or commas. For juniors (J) and guests (I), enter JI or IJ. Restriction classes are defined for each restriction. The list of classes is found in code table 79- Restriction Classes.
Activity: Name of activity
Activity 2 (red on Internet): Name of activity
Lock Past Tee Sheets: Prevents the modification of tee sheets for dates in the past. By default, no user (with the exception of security officers) can modify tee sheets after 48 hours. By unchecking this box for a specific date, all users who can make changes to the tee sheet will be able to modify a date in the past.
Reservation Ballot Special Message: To post a message to be displayed for a specific date in the reservation ballots. The message can be entered in both French and English.
Morning and Afternoon Weather: Weather entered by the starter in the calendar sub-screen.
The choices are:
Temp: Temperature in degrees (for morning and afternoon).
Some information displayed in the calendar's main menu is generated by the calendar subscreen, which can be opened by clicking on the "Modify" button.
Flags P1/P2/P3: Indicates the flags' locations on the greens for the day, on each course. Their position can be printed on score cards.
Code Jour: Indicates a special green fee for the day. Allows you to offer reservation privileges for specific dates.
The "Modify Date" button opens the calendar modification window (calendar sub-screen).
The detail tab manages the following content:
Holiday and restriction exceptions:
Holiday code: Holidays dropdown list. This list can be modified in value table 43. For now, the holiday type is only used for information purposes.
Holiday for restrictions and greenfees: Check to mark as a holiday. This is important for restrictions application and greenfee price searches. IMPORTANT: For holidays like Canada Day on July 1st, if it falls on a weekend day and that therefore the holiday is moved to the Friday before or Monday after, check "holiday" for the Friday or Monday to which you would like to apply the holiday.
Exclude restriction classes: To exclude certain restriction classes on a given day (ex. parents/juniors tournament). Indicate the letters corresponding to the classes, ex. J for Juniors. Indicate * for all.
Reference day for restriction rules: To change the day of the week for one date in order to use that day's restrictions as an exception. Normally not used since holidays are identified directly in restrictions and greenfees.
Special daily greenfee: To program fees to be applied only on certain dates. See 'Special calendar daily greenfee' in the 'Type Billing Info" tab in Member Types.
Tee Sheet controls
Lock past tee times: Prevents past tee sheets from being modified. By default, past tee sheets are automatically locked the day after next. This ensures that nobody will modify past tee sheets, which make up your statistics. To make a modification/correction in a tee sheet for a date in the past, uncheck this function to override the default restriction. It's important to recheck the box once you've made your change.
Hide tee times: To prevent the members and visitors from viewing the tee sheet online and on the touch screen. Tee times are also hidden in functions such as "My starting times" and "My starting times as a captain".
Maximum number of carts: Indicates the number of carts usually available for member reservations. For days when carts must be set aside for an external tournament, it's possible to set an exception to the number of carts available for reservations for that day in the calendar. This information is important when you allow member cart reservations and wish to prevent these reservations when there will theoretically not be any more carts available at the time the member is reserving for.
Hide shotgun hole numbers: When checked, hole numbers (ex. 12B) aren't displayed in the online tee sheet. Use this option if you only wish to assign holes to foursomes a few minutes before their tee times.
Ballot draw exceptions
Accept reservations: Used to indicate exceptions in reservation ballots. By clicking on the arrow, three choices are offered:
- Day Default: References the day of the week, according to settings in the Days tab.
- Yes: Exceptionally, reservations are accepted on that date.
- No: Exceptionally, reservations are not accepted on that date. This option is used for special days to avoid members requesting tee times when the course is unavailable (ex. external tournament).
Days before draw: Allows you, for a specific date, to override the default number of days in advance for reservation ballots. This option is primarily used for holidays and allows reservation ballots and the allocation of tee times from the reservation ballots at the same time as for the preceding Saturday or Sunday.
Reservation period: To override the default value in the "Days" tab, by assigning a reservation period.
Penalties calculated?: Indicates whether penalties have been calculated by the starter.
Tee times assigned: Indicates that the reservation ballots were transferred to tee times. Automatically checked when tee times are assigned in a draw.
Messages (double-click to modify)
Event 1: Names of member tournaments. These names are displayed on the touch screen and the online calendar.
Event 2: Names of external tournaments. These names are displayed on the touch screen and the online calendar. Tournaments can be entered here for clubs that don't have the Tournaments module.
Member Reservation: Message displayed for members when they reserve online.
Visitor Reservation: Message displayed for visitors when they reserve online. If the "Display message as pop-up when booking reservations online" box is checked, the message will pop up.
Score card: Message to be printed on score cards.
Weather
Morning / Afternoon Weather: To document morning/afternoon weather. This information will be displayed on the calendar's main screen. When you click on the dropdown menu, you will be offered a selection of the following:
Temp.: To enter the temperature, in degrees.
Weather description and other notes for the day: To enter a comment for the day.
Flagstick position: Position of the green flags for the day.
Green speed: Indicates the green speed measured by StimpMeter. Values are usually between 7.0 and 12.0, and correspond to the number of feet the ball will roll from a StimpMeter ramp. The higher the value, the faster the green.
The "Event 1" and "Event 2" tabs manage the following information:
Event category: Identifies which category the event belongs to.
Title: Event's title.
Pop-up message in GGGolf calendar: To enter a message which will be displayed as a pop-up in the calendar.
''Messages member reservations/score cards'' tab:
In this tab, you can enter a message that will be displayed to members when reserving a tee time or in a lottery. A message can also be printed on score cards.
''Visitor Reservation Message'':
In this tab, you can enter a message that will be displayed to visitors when they reserve for a given date you selected in the calendar's main screen. The "Copy Member Message" button allows you to copy the Member message and use it for visitors as well. Please note that the visitor message cannot be formatted with fonts and colors for now. This message is also included when sending reservation confirmation emails along with the club's terms and conditions.
Minutegolf Exception: Reserved for the exclusive use of GGGolf to manage exceptions for GGGolf tee times.

The "Member Birthdays" tab displays the following:
Generate names born on this day/month: To view member birthdays for the current day/month.
Generate names born from this date for 1 year: Displays member birthdays for a year starting on the current day. Please note that birthdays are generated automatically each night via GGServer on the GGGolf server.
The "Copy calendar date" tab allows you to copy the previous year's calendar information date by date.
Reference method for last year's date: By default, the system displays the date for the same week day of the past year.
List of tournaments from the tournament module for this date: For information, displays the list of tournaments entered in the tournament module for that date.
