This screen gives users access to all reservations, including the ones for tournaments, awaiting to be assigned a tee time. Users can enter a new reservation and search through existing reservations, or sign people up for a tournament.
Here's an example of the Reservation Ballot Maintenance screen:
Create a new reservation: Displays the reservation creation sub-screen and the list of available dates to make a new reservation (used when the starter or a system user receives a reservation request). See the reservation creation sub-screen below for details.
Modify selected reservation: To display the detail for an existing reservation selected from the list of reservations in order to modify it.
Create a tournament sign-up: To display the tournament sign-up sub-screen and the list of available tournaments to sign-up for (used when the starter or a system user receives a sign-up request). See the tournament signups section for details.
List of Reservation Ballots (Lottery requests)
Display: To display all reservations (regular reservations and tournament signups, reservations only, tournament signups only or standbys only).
Display by: To display all reservations in different ways, such as:
By Captain: For captains, depending on the name selected at the following step.
By Member: For a specific member, depending on the name selected at the following step.
By Date: By ascending order of date.
Reservation Date: Select the date for which you want to display reservations.
and more: Check to see reservations on and after the selected date.
Display for specific member: Allows you to search for a specific member. Just enter the first letters of the member's last name to access the member directory by alphabetical order. It's also possible to click on the arrow to access the directory. Then, in the following section, indicate whether you wish to display as a member or reservation captain.
Date: Indicates the reservation date.
Time: Indicates the requested time range.
+: Indicates the preference entered by the golfer upon reservation in the event that their time range weren't available;
= no preference
< earlier
> later
Wt: Indicates the foursome's total weight, taking into account each player's individual weight.
Group: Indicates whether the reservation is part of a group. All reservation ballots for the same group will bear the same group numbers. For example, GR 01 for the 9th of May will highlight for the starter that two foursomes are part of the group and that they must not be separated. For a tournament signup, the tournament name will be entered according to how it's coded in the Tournament module.
Captain:
Players 1 @4: Indicates the foursome's players.
Date-Time: Date and time the reservation was created.

W: Internet Services (Web)
T: Touch Screen
S: System user, ex starter
C: Copied reservation. To copy a group of reservations, copy foursomes one at a time. You can't copy groups all at once.
R: Number of meals in the reservation.
N: Number of players in the reservation.
S: Number of players not yet assigned a tee time (lottery not yet performed).
C: Number of carts reserved.
Lottery: Indicates the time assigned in the lottery.
Here's an example of the "Reservation ballot request" sub-screen (when you click "Create a new reservation"):
Tee time range: Enter the desired time range among the ones offered.
Sooner or Later: Indicate whether the golfer wishes to play earlier or later if the demand for their desired time range were higher than the number of available tee times.
Comment: To enter a comment. For example, the requested time period is 8 to 9 am but the comment indicates "not before 8:30 please". Any comment entered in this field will be available to the starter or other system user responsible for assigning tee times.
Group (optional): If the reservation captain makes reservations for a group of players (mini league), they can select the group they're reserving for or, if it's for a non-recurring group, choose the "generate group" option. The system will automatically generate a group number. Once all players are entered and the reservation is confirmed, the following message will appear to allow the other foursomes' players to be entered:
The group code assigned to all foursomes in the reservation will indicate to starters that reservations should be placed consecutively in the tee sheet.
Number of carts: When the club allows carts to be reserved in reservation ballots, this option is activated and allows reservation captains to identify if carts are needed, and if so, how many.
Reservation Captain: Enter the reservation captain's name.
Players of Foursome: Enter the foursome's players. It's possible to search by typing the first letters of the player's last name to facilitate selection. The system manages restrictions by member type so, if the user tries to enter a player with a restriction limiting their access to the requested time range, a warning message will appear. Users with the required security level will be asked if they wish to override the restriction and accept the reservation:
9 holes: When checked, indicates a reservation for 9 holes only.
HcpF: Handicap factor.
Tees: Tee used to calculate the handicap when printing scorecards.
The system also validates reservations to ensure there aren't two reservations for one player. If a captain tries to enter a player who already has a reservation for the same day, the following message will appear, allowing the captain to cancel the player's past reservation and enter the new one:
Add Player: To access the list of members and search by alphabetical order. Once the desired player is found, select them by double-clicking on their name and they will be entered in the reservation.
Here's an example of the Member Search sub-screen:
Add Greenfee: To access the list of greenfees and search by alphabetical order. Once the desired player is found, select them by double-clicking on their name and they will be entered in the reservation. Please note that, in most clubs, greenfees cannot participate in lotteries. Naturally, the system performs restriction validations on guests according to the requested date and time.
Add Guest: To access the list of guests and search by alphabetical order. Once the desired player is found, select them by double-clicking on their name and they will be entered in the reservation. Naturally, the system performs restriction validations on guests according to the requested date and time.
Here's an example of the "Guest/Greenfee Search" sub-screen:
If the guest has never been to the club and is therefore not in the list, click on "Add F6" to access the guest creation sub-screen. It's also possible to modify the information for an existing guest or add a comment by selecting the "Modify F2" button.
The Guest and Greenfee database enables you to indicate when the player is at the club as a tournament participant, as a member's guest or as a greenfee. This function allows you to control how many visits each guest/greenfee makes per year.
The "Keep type for next reservation" selection allows you to make several reservations without needing to enter the same guest/greenfee type over and over again.
Here's an example of the "Guest/Greenfee Maintenance" sub-screen, displayed when a guest or greenfee is not already present in the database:
Modify Player/Guest: To access the Member Search sub-menu or Guest/Greenfee database, depending on what player is selected.
Remove Selected Player: To delete a player from the ballot, select the player and click on "Remove Selected Player".
Create another after confirming this one?: Check this box to create multiple reservations quickly.
Members: Connects to Member Maintenance. Only available to users with the appropriate authority level (administrator or up).
OK (F9): Confirms the reservation.
Cancel (Esc): Closes the modification window.
Cancel reservation: Cancels the reservation. You will be asked to confirm.
